Coker College is in compliance. The College adheres to FERPA guidelines regarding security, confidentiality, and integrity of student affairs records. Types of records include: judicial, health, financial aid, admissions, drug screening, insurance, and disability. Records are kept for five years after the student ceases enrollment. They are stored in locked offices, in locking file cabinets. Faculty and staff have access to them for legitimate reasons if approved by the Vice President for Enrollment and Student Services. Work-study students in Student Services must sign a confidentiality agreement. After matriculation, admissions records, including the application for admission, all previous transcripts from high school and/or college and standardized test scores are transferred to the Registrar's Office and are stored as academic records upon enrollment (see Section 3.4.11). The Admissions Office keeps records of non-enrolled applicants for one year. Students who provide documentation of a disability and request accommodations through the Americans with Disabilities Act are requested to do so after the student has been accepted to the College. The files are separate from the admissions files and are sent to the Registrar after the student pays the admission deposit. These files are maintained in the Registrar's Office. Electronic records are kept in the college database and protected in the same way academic records are, as described in Section 3.4.11. The Library follows federal law in restricting access to circulation
