Housing and Residence Life Contract

This contract is an agreement between the College and the individual herein referred to as student. It is for the period of the contract as specified in Item 1 of Terms, Conditions and Policies, and entitles the student the use of College Housing accommodations only in such a manner as set forth herein and in the Student Handbook and the Academic Catalog. It does not constitute a commitment of admission to the College.

This contract may be terminated only under the conditions specified herein. Students and their parents or guardians are urged to read carefully the terms and conditions of this agreement. If the student is under 18, a parent or guardian must sign this contract with the student. The College agrees to provide accommodations under the conditions of this agreement as described herein. The contract is a legally binding contract for BOTH the Fall 2011 and Spring 2012 semester.

When making assignments Coker College Housing does not discriminate with relation to race, color, national origin, religion, gender, sexual orientation, familial, or handicap (disability). All residents are housed in same gender rooms and suites.

  1. Period of Contract. August 1, 2011 – May 14, 2012.
  2. Residency Requirement. All students under the age of 22 entering the Day Program of the College that do not live with parents or legal guardians, have a medical impairment, or spouse, are required to live in College-owned housing. Students classified as senior by the Registrar are not required to live in College-owned housing.
  3. Meal Plan. Students residing in College Housing are required to participate in the College Board Plan.
  4. Health Form and Medical Care. Students are required to file a complete and accurate Coker College Medical Profile form with Health Services prior to their initial room assignment. This form must show proof of required immunization. Failure to file the form may result in the denial of housing, cancellation of registration, and/or judicial action.
  5. Health and Accident Insurance. Students are required to carry basic health and accident insurance. Students are automatically billed for a policy sponsored by the College unless evidence of individual coverage is provided to the Business Office by the time fees are paid.
  6. Occupancy and Payment. This contract binds a student to pay housing rental fees according to the College payment schedule for one academic year as indicated in item 1, and to abide by the following occupancy procedures and regulations:
    1. Students may occupy assigned space from the date designated as the official opening of the residence halls to 24 hours after the student’s last exam or 10:00am on the day after the last day of the semester, whichever comes first.

    2. Students who fail to occupy their assigned space by the first day of class will be bound by this contract but may lose their assigned space.

    3. College Housing will be closed in between semesters.
  7. Cancellation of the Contract
    1. For New Freshmen and Transfer Students. Written notice of cancellation must be received by the Residence Life Office on or before the Drop / Add date of the current semester. Otherwise, the contract is binding, and students are obligated to pay rent for the entire semester. The $150 Room Reservation Deposit may be refunded if the cancellation is received before May 1 (for the Fall Semester) or November 1 (for the Spring Semester).

    2. For Continuing Students (All students not new to Coker College). If written notice of cancellation is received by the Residence Life Office on or before May 1 (for the Fall Semester) or November 1 (for the Spring Semester), the contract is cancelled without penalty. If written notice of cancellation is received by the Residence Life Office between May 2 (for the Fall Semester) or November 2 (for the Spring Semester) and the Drop / Add date, the contract will be cancelled, the student will forfeit his/her $150.00 Housing Deposit, and the student will be billed a $200.00 Contract Breakage Fee. Otherwise, the contract is binding, and students are obligated to pay rent for the entire semester.

    3. All returning students are required to have all business matters from the previous semester settled prior to July 01, 2011. These business matters include, but are not limited to: financial obligations to the institution (i.e. business office holds, library holds, judicial holds, parking tickets, etc.) and judicial sanctions. If the student has not made arrangements to settle these matters by July 01,2011, the student may forfeit his/her room assignment. Fees and penalties will be assessed according to the stipulations of this contract. If the student settles the business matter with the College after they have forfeited their space, the student may contact the Office of Residence Life to be placed on a waiting list for available room assignments. Assignments will be made as space allows.

    4. All returning students are required to have all business matters from the previous semester settled prior to July 01, 2011.     5. Cancellation of Contract at the End of the First Semester. The contract may be terminated at the end of the first semester without penalty for the following reasons: graduation, ineligibility to continue enrollment due to failure to meet academic requirements, completion of graduation requirements, participation during the second semester in anything required by the College that takes the student away from the main campus, or circumstances determined by the College sufficiently extenuating as to warrant cancellation (documentary evidence will be required).

    6. Right of the College to Cancel. The College reserves the right to refuse admission or readmission to College Housing or to cancel the Contract during the academic year for the student’s failure to meet College requirements, policies, or regulations, or in the event of criminal conviction by civil authorities. In such cases, there will be no refund of prepaid rent. In the event accommodations assigned to the student are destroyed or otherwise made unavailable and the College does not furnish other accommodations, the Contract shall terminate; all rights and liabilities of the parties hereto shall cease, and rental payments previously made shall be refunded on a prorated basis as of the date accommodations became unavailable.
  8. Assignment of the Contract. The College Housing Contract is personal and may not be transferred or assigned to another person. The space may not be sublet.
  9. Assignment of Rooms. College Housing reserves the right to fill every available space. Where there is a vacant space, the remaining occupant(s) must maintain the area in a manner that would allow another student to move in immediately. Failure to do so will result in a $50.00 charge.
  10. Consolidation/Overflow. The College maintains the right to require single occupants of double rooms/suites to change/move when deemed advisable or necessary. The College also reserves the right to assign students to overflow accommodations in the event regular spaces are not available.
  11. Assignment Changes. Students may submit requests for housing assignment changes during designated periods. A $50.00 fine will be levied against students moving out of, into, or within College housing without having written authorization from the Residence Life Office. Once a housing change has been approved, the student must move, or he/she will be charged $50.00.
  12. Responsibility for Personal Property. The College does not assume any legal or financial obligation for any resident’s personal property that may be lost, stolen, or damaged in its buildings or on its grounds. Students or their parents are encouraged to carry appropriate insurance to cover such losses.
  13. Responsibility for the Room.
    1. The student is responsible for the condition of the assigned space and shall reimburse the College for all damage to the space and damage to or loss of fixtures, furnishings or properties furnished under the contract. No alterations may be made to the area or furnishings provided by the College. All furniture in your room at the time you move in must stay there for the duration of your residency. You may not remove, store, or trade furnishings from your space. There is a $50.00 charge for violating this policy. Additional furnishings brought into the room by the resident(s) must be freestanding and clear of all existing furniture, fixtures and walls.

    2. When occupancy is terminated, students must follow proper check-out procedures. A Housing staff member will inspect the area and assess for damages or missing property. Residents vacating housing without following these procedures will be charged $50.00, plus the cost of replacement or repairs resulting from damages inflicted during occupancy. If cleaning is necessary, cleaning charges will also be assessed.
  14. Responsibility for Communal Property. (Including, but not limited to, hallways, baths, stairwells, elevators, lounges, study rooms, utility rooms, and conference rooms.) Residents are expected to take every precaution to assure that communal property is not abused. In halls or areas where the College has determined that there is abuse or destruction of College property and the responsible individual(s) cannot be identified, all residents may be held responsible for paying a prorated portion of repair and/or replacement costs.
  15. Responsibility for Housing Rules and Regulations. Students agree to read and abide by all rules and regulations stated in the Coker College Student Handbook and the Coker College Guide to Residence Life.
